How to Edit a CV in PDF: 3 Ways Compared

A PDF is built to look the same everywhere, which is exactly why it fights you when you try to change it. Pick the method by the size of the change.

Why a CV in PDF is hard to edit

A PDF stores every letter at a fixed position on the page. There are no paragraphs that reflow and no columns that make room: change one word for a longer one and nothing moves to make space for it.

CVs make this worse than most documents, because they are dense and designed. A typical CV has two columns, small fonts, icons, a sidebar and text placed precisely by whoever made the template.

  • Fonts are often embedded only partially, so a letter that was not used before cannot be typed.
  • Lines do not wrap: a longer sentence runs off the edge or over the next block.
  • CVs made in design tools are sometimes saved as shapes or images, with no editable text at all.
  • Adding a whole new job means moving everything below it, by hand.
CV in PDF or Word: which format to send

Method 1: a PDF editor, for small fixes

Adobe Acrobat and the many online PDF editors let you click into a line of text and retype it. For a change that keeps roughly the same length, that is the quickest route.

  • Good for: a new phone number or email, a typo, a corrected date, a city.
  • Not good for: a new job, a rewritten description, reordering sections, a longer profile.
  • Watch for: a substitute font that does not match the rest, and text that overlaps the next line.

If the edit takes more than a few minutes of nudging text boxes, stop: the next two methods will be faster.

Method 2: convert it to Word

Word can open a PDF and turn it into an editable document, and many online converters do the same. On a simple, one-column CV with standard fonts, the result is usable.

On a designed CV it rarely is. Columns turn into floating text boxes, icons drift, spacing changes and the second page starts in a different place. You then spend most of your time repairing the layout instead of improving the content.

  • Convert, then fix the layout before you touch any text.
  • Check that the fonts are installed on your computer, or replace them with standard ones.
  • Save as PDF again at the end, and open the new file to check it.

Method 3: import it into a CV builder

The third route treats your PDF as a source of content rather than a file to repair. A CV builder reads the PDF, puts your details, jobs, education and skills into separate sections, and lets you edit them as text.

The layout is then produced by a template, so adding a job, rewriting a description or changing the design costs nothing. The trade-off: your old design is replaced by the template you choose, and you need to check every section, because no import is perfect.

  • Good for: real updates, a new job, a new design, a CV in another language.
  • Works with scanned and photographed CVs too, as long as the text is legible.
  • Check names, dates and anything in a table, which are where imports most often slip.

Which method to choose

The size of the change decides, not the tool you already have.

Before you send the updated CV

Whichever method you used, run these checks on the final PDF, not on the file you edited.

  • Your most recent job is at the top, with the right dates.
  • The text can be selected and copied. If it cannot, applicant tracking systems cannot read it either.
  • Nothing overlaps and no line runs off the page, on every page.
  • The file name says who you are, for example firstname-lastname-cv.pdf.
  • Old details are gone: a previous address, an expired certificate, last year's job title in the headline.

Frequently asked questions

How can I edit a PDF CV for free?

For a small change, a free online PDF editor is enough. For a real update, convert it to Word or import it into a CV builder, then download a new PDF.

Can I edit a CV PDF in Word?

Yes, Word can open a PDF and convert it. It works well for simple one-column CVs; designed CVs with columns, icons or sidebars usually come out with a broken layout that needs fixing by hand.

Why does my CV look broken after converting it to Word?

A PDF has no real paragraphs or columns, only text placed at fixed positions. The converter has to guess the structure, so columns become separate text boxes and spacing shifts.

How do I edit a CV I made in Canva and saved as PDF?

If you still have access to the original design, edit it there and export it again. If you only have the PDF, import it into a CV builder or rebuild it, because design-tool PDFs often contain little or no editable text.

What is the quickest way to update an old CV?

Import the PDF into a CV builder, check what was read, add your latest job and rewrite what is out of date. Most people finish in ten to fifteen minutes.
